Accounting Administrative Assistant

The Accounting Administrative Assistant is responsible for support to the Chief Financial Officer, Controller, and Administrative Operations staff to enable the efficient and effective function of all facets of the Administrative Operations Department.

  • Accounting Support: 
    • The primary duties of the Accounting Administrative Assistant are to provide support to the Chief Financial Officer and Controller, coding accounts payable invoices using Excel spreadsheets, and data entry of accounts payable invoices into an accounting software package. 
    • Some coding will also include appropriate cost allocation calculations.  
    • The Accounting Administrative Assistant is also responsible for ensuring that all vendor payments are accurately processed and mailed/delivered in accordance with the scheduled dates.
    • The Accounting Administrative Assistant should also have an understanding of standard general ledger accounts.    
    • The Accounting Administrative Assistant is responsible for assisting staff of the Accounting Unit, under the direction of the Controller, with clerical tasks, including typing, copying, collating, faxing, mailing, filing, adding data to Excel database files, making preparations for meetings/training sessions, updating various Excel spreadsheets and other accounting duties as assigned.  
    • The Accounting Administrative Assistant shares in the receiving functions to include verifying contents, distributing items, and completing the receiving report.  
    • Under the direction of the Controller, the Accounting Administrative Assistant will prepare the cash receipts reports for submittal to the Accounting Manager for weekly bank deposits.  
    • The Accounting Administrative Assistant is responsible for monitoring general supplies, to include janitorial, office, meeting and postage and preparing purchase requests for same.
  • Qualifications:  
    • High school diploma supplemented with training in spreadsheets, typing/word processing, and desktop publishing; prefer individual already trained in Windows, Excel, Word, and Power Point.   Minimum typing score: 45 WPM.  
    • Minimum of three years of progressively responsible data entry/administrative experience preferably with experience in finance/accounting.  
    • Additional experience may be substituted for post high-school education, provided the requisite skills have been obtained.  
  • Hiring Range:
    • $20,500 - $23,063.
